    Any suggestions for ways to shrink or compress the amount of storage that the Zetadocs Archive takes up? We currently keep it on a file server and are considering at least using an image compression tool to drop image sizes, but we have a lot of other files too. 3.5 years has accumulated 220 GB.

    Have you tried archiving some of the older documents?

    We have the same issue and tried working with Zetadocs on this one.  They mention archiving all the time, however, then you lose your logical links inside of NAV.  To that they counter by saying you can use SharePoint and create your own lookups to get to the information you need - I find that unacceptable because the main selling point of Zetadocs, in my opinion, is to link documents to NAV.

    My request to Equisys is to allow multiple libraries/tables/databases and then link all of them back to NAV.  Then you can have new ones each year, for example, and not worry about size anymore.  This has no traction or appetite at the present time and has forced us to seek alternate solutions. NAV Add-ons has potential, but we are still early in the process.

    I've come to the conclusion that Zetadocs is for small business and didn't factor in scale.  Naming conventions have been a problem for us as well.  When you have 20 documents linked to the customer card, good luck finding the one you want - I say that in frustration as well, because we have been trying to move the needle with them on this idea as well and it falls flat.

    I could see some doing some minimal archiving IF I could specify which NAV records will lose their linked documents. (Old items, maybe very old purchase/sale documents) But I don't see a way to do that since everything is simply stored in folders by date. Is it possible to do this?

    Hi Greg,

    My suggestion would be to move all content to SharePoint Online. You will have unlimited resources there. However, you will need to use a migration tool like ShareGate to keep all the links. Using a regular file transfer app will not work. We made this switch back in 2016 and everyone is pretty happy about it.

    Thanks Eduardo! I did some initial tests of using Sharepoint Online a year ago and wasn't impressed with the load speed in NAV, but I think this may be our only viable option. It definitely helps to hear that you were able to do this successfully and it's still working well. Thanks for the input!

    Hello,

    We use ZetaDocs and ran into this issue as well.  We successfully migrated to using the SharePoint integration about 3 months ago and are very happy with the results.  Users now can open SharePoint and search/review attached files without using a NAV license or knowing what NAV record the file is attached to.

    However, I agree that ZetaDocs is better suited for smaller clients and does not scale well as a company grows.  We will be reviewing our document management needs during our next upgrade and may migrate to a more robust solution.

    Hey Greg,

    Equisys wrote a scripts as part of the upgrade/migration.  That script moved the files from the on-prem file server to SharePoint and changed the file link in NAV as well so that the legacy files would still open from NAV.

    We had to upgrade our license as part of this process, the standard license that comes with NAV does not support the SharePoint integration, FYI.
