Deleting Sales Quotes

    We are looking to clean up our sales quotes and would like to delete them with automatic archiving turned on. Is it possible to do this as a batch job in NAV 2009 CC or RTC without customization?

    Bob,

    You should be able to do this as a two step process.

    (1) Print/Preview ALL Sales Quotes (or filter as needed) with the ARCHIVE DOCUMENT check box checked.
    (2) Run Delete Archived Sales Quote Versions.

    After step 1 as described, the sales quotes now have an archived version. Our company's specific QMS records retention is 7 years for quotations. So we need to keep the archived version, but we want to delete sales quotes that are older than 24 months, for example.  So we need to batch delete the sales quotes that were archived in step 1.  Is it possible to batch delete sales quotes?

    Yikes!  I told you how to delete archived quotes - sorry.

    I don't see any out-of-the box method to delete "open" sales quotes.

    You could probably create a new report against the Sales Header table (instead of the Sales Header Archive), and use the logic in report 5179 (Delete Sales Quote Versions) to accomplish this.

    Hi Bob, 

    No out of the box cleanup report that I am aware of, for sales quote. But you can use the batch job to archive all of them and then a simple date filter on Sales header table for document type = Quote and then delete from the table that will delete any subsidiary table entries as well. So, little manual but no customizations needed.

    Of course, please test this in test system with a few quotes to see if gives you the desired results.

    Hey Bob,

    Quickly whipped this processing-only report together for you to try in a TEST database and see if it does the trick for you -- right now it's set to calculate anything from 0D to 24-months prior to the current WORKDATE and it will archive and then delete the Sales Quote.

    Wasn't sure what Object range you're at with custom reports, so I made it 50999 -- make sure that that's provisioned to your license or renumber the object.

    If this works, you have two options:
    1. Add it to your MenuSuite and run it routinely;
    2. Remove the CONFIRM prompt in the report (or add some IF GUIALLOWED logic) and throw it onto a NAS to auto-run at whatever interval/frequency;

    There should be documentation on both those online -- if not, reach out here and the NAVUG community'll take care of ya.

    Hey Ramin,

    I was able to import and rename into our report range.  I've tested and by manipulating my work date was able to archive and delete 761 sales quote records in a matter of seconds!  It will seriously save our sales team hours of manual data entry. 

    Thank you for this report. You went above and beyond!  I've been involved with NAVUG since 2008 and with your help this community continues to amaze me!

    I'm glad that worked out! Let me/us know if you ever decide to schedule this to run on a NAS -- we'll just need to adjust the logic of the confirm prompt to only display when running through the GUI.

    i came across this post and tried importing into my #NAV2017 but i receive error about the FOB being for an older version. Do you have an updated FOB that would import for #NAV2017?
