    has anyone used the responsibility center on the vendor cards?  I am wondering how people have used this field.  I am looking to use this to list if a vendor is "approved".  We need a way to classify vendors as either goods/services or if it is something that is more of a "purchase" (this is how we pay out expenses to our employees.)

    The Responsibility Center has functionality associated with it, it is not just an "information" field. I strongly advise against using this field for anything other than what it is intended.

    Without more information on where you need to see or use this vendor "classification" it is difficult to make an alternative recommendation.

    I fully agree with Cynthia.  Due to the coding that exists behind base NAV fields, it is best to use them only if you know their intended functionality.

    If you need to add an informational field for filtering, you have an almost unlimited number of User defined fields you can add.  Reach out to your partner for this type of quick change to the system.

    @Cynthia Priebe MCP, DCP our ISO certification requires us to define vendors as approved.  It was a thought to be able to define them using this field.  As this appears to not be the best I will look into having a field added to unsure we do not corrupt something else.  For clarification what would this field be used for?  (Sorry I love to ask the why's?...lol) ​

    The responsibility field is used to assign vendors and customers to a location, something different than an inventory location.  It can be offices or responsibility areas.  Responsibility centers are assigned to customers and vendors.  Then you can assign the centers to a specific user in the User Setup.  Assigning to a user creates a filtered view for the user when accessing sales orders and purchase orders.  They can only view orders by their responsibility center.  If you created a responsibility center but never assigned it to a user then it's just a field on your vendor/customer card.  But the functionality is there and could be applied to a user.

    I can't quite tell what might be involved with your approval, whether you want an actual approval (or multiple approvals) to verify the Vendor is set up correctly, or if you are just trying to group and classify vendors by the type of business you do with those vendors.

    If you are NAV 2016 or newer, the built-in Workflow might be an option for you if you want an approval. You can have the workflow route approvals to certain users, or verify that certain fields have been filled in. The workflow can even manipulate data fields, so you could have the vendor blocked until the approval is completed. There are some sample workflows in the Cronus USA database.

    For your classifications of vendors I would think using the "vendor posting group"  would be the best place to determine if it's a service vendor, inventory vendor, yadda yadda.  Are you using Easy Security field level security?  That might change how I would recommend achieving your goals.

    I agree with all the statements made about not using Responsibility Center. If you are on a newer version, @Kyle Hardin's suggestion of Workflows is probably the best way to manage the "approved" requirement. You can set a filter to automatically block the Vendor until approved by the appropriate person.​ Once approved, it would be un-blocked and you'd have the audit trail of when and by whom it was approved.
